Brief
Our brief was to develop an Integrated Management System to cover Quality, Environment, Energy, Occupational Health & Safety to be ready for the external audit against the four standards. The challenge was that we only had ten days!
Soufflet Malt UK Ltd
Soufflet Malt UK Ltd is part of the larger Soufflet Group, a French owned business collecting and adding value to agricultural materials. Soufflet Malt UK Ltd is based at Shobnall Maltings in Burton Upon Trent which has been a maltings for over 100 years. From here, Soufflet supply brewing and distilling customers around the UK, but particularly in Burton Upon Trent.
The Challenge
The original Management Systems had become disjointed and out of date and no longer fit for purpose. In addition, there was nobody with a working knowledge of the old systems left in the Company. As a consequence, it was decided to start from scratch and create an Integrated Management System. However, the problem was that we only had ten days to do it in.
The Solution
We began by carrying out a Gap Analysis to identify what actually was available and in use and what elements for the four standards were missing. From this we were able to effectively map out the steps needed to be taken.
At the same time, a site audit against the requirements of the standards was conducted to identify priority areas of the operation that needed addressing. Working with the Management Team a number of issues were identified, and steps taken to address them. At the same time a number of examples of good practice were also identified and highlighted. This gave the team the confidence that things were not as bad as had been thought.
Using the findings of both the Gap Analysis and the site audits, we were able to develop an Integrated Management System that covered all four standards. Whilst each standard has specific requirements, it was possible to utilise the overall structure of the standards to develop a single management system.
Prior to the external audit, a full team review was conducted with all the Soufflet Management Team to ensure that it was fully understood how the IMS worked and how it related to each area of responsibility.
The proof was in the pudding! The external audit conducted by SGS over four days found only four minor nonconformities and the team was congratulated on an effective implementation.
